Share Report Templates saved as of a point in time
Report Templates are live. This means that as soon as the underlying actuals or plan data updates, the report template will simultaneously update as well. Publishing your report template will produce a hard-coded copy of the report that can then be shared with Users as needed.
For example, if you have a month-end report template, best practice would be to publish it monthly and distribute the published version to your key stakeholders.
Publishing Report Templates
To publish a report, open the desired Template and click the Publish button in the upper right-hand corner.
Publishing the report template will redirect you to the published version of the template. A few things to note:
- The report will look exactly the same as it did in the template view, but the option to edit will no longer be available. Additionally, you can see a blue "Published" label next to the Plan Name. All the data is frozen into an online snapshot that can be shared directly through the app or you can export it as a PDF or Excel file and share it yourself. When a user logs in to Jirav, they can see all the outputs shared with them so far, making it a single source of truth for all relevant information.
- Opening the report dropdown will show the original, live template remains available for use in future reporting periods. The newly published version of the report is shown in the published section.
- The label next to the Report Name shows it is Published and the Publish button is replaced by the "Share & Export" button.
Sharing Published Report Templates
While you can share a template or a published report, we typically recommend sharing published reports with key stakeholders as a best practice so you can easily reference back to exactly what information you shared with them.
There are two ways to share a published report template, (1) through Jirav or (2) via export to PDF, Excel or Google Sheets.
Sharing using Jirav
To share a published report via Jirav, select the desired Published report and then click the "Share & Export" button in the upper-right-hand corner of the screen and then click on "Share".
This action will open the Share prompt. Choose to share the published report template with individual users or groups of users with an optional message.
This action will send the user(s) selected an email inviting them to view the Published Report. Accessing the invitation via email will require the user to log in to Jirav and they will only be able to see the data that you have explicitly shared with them.
Sharing Exported PDF / Excel / Google Sheets
To share a published report outside of Jirav by exporting to PDF, Google Sheets or Excel, select the desired Published Report, select the "Share & Export" button in the upper-right-hand corner of the screen to activate the context menu and then select Export as PDF, Export as Excel or Export as Google Sheets.
For Export as PDF, preview PDF will generate a preview of the Published Report Template in Jirav which can then be edited by clicking on the "PDF Settings" button and downloaded to PDF.
PDF Settings that are available to customize are:
- Page Alignment (Left / Center)
- Orientation (Portrait / Landscape)
- Sizing Options
- Fixed Width: we assign a fixed width to each column. In cases where there are a lot of columns on the page, some columns might get cut off on the right.
- Fit To Page: we auto-size the column sizes to make sure all data is visible.
- Export Footnotes (As Footnotes / Inline)
Export as Excel will export the Report Template to Excel with a tab for each Report. Note, that formatting included under your Report Package in Jirav will be exported to Excel as well.
Export as Google Sheets will ask you to pick the right Google Account and export the Published Report Template to Google Sheets with a tab for each Report. Note, that formatting included under your Report Package in Jirav will also be exported to Google Sheets.
