QuickBooks Desktop: Import Instructions

Import your accounting actuals from QuickBooks Desktop via the QuickBooks Web Connector (QBWC) to begin planning and reporting in Jirav

Jirav's foundation is built on your accounting data. The QuickBooks Desktop integration utilizes the QuickBooks Web Connector powered by Intuit. The QuickBooks Web Connector must be set up prior to establishing the connection in Jirav.

Converting from Autofy to Web Connector

Earlier this year, we announced our plans to create a new connector that would allow you to seamlessly import QuickBooks Desktop actuals into Jirav, eliminating the errors customers encountered with the third-party provider Rightworks/Autofy. After extensive customer testing, we are excited to announce that our QuickBooks Web Connector (QBWC) is now available!

Important: Autofy has been discontinued. If you didn’t switch to QBWC before September 30, 2024, you must install the QuickBooks Web Connector to import updated actuals into Jirav. Your past actuals from Autofy will still be available.

To convert from the Autofy connection to the Web Connector, log into Jirav, navigate to Settings > Actuals and proceed with the Initial Connection Instructions below. 

Initial Connection Instructions

To get started, import the chart of accounts, account balances, and optionally, a department structure from QuickBooks following these steps.

Step 1: Review QuickBooks Desktop Requirements

  • Check Compatibility with QuickBooks Desktop
    Jirav supports QuickBooks Desktop Pro & Premier (2015 and later) and Enterprise (15.0 and later).

  • Prepare QuickBooks for Integration

    Ensure you are logged in as the admin, QuickBooks is in single-user mode, and only one company file is open. 

  • Select Cash or Accrual Basis for Import
    The integration supports Cash or Accrual basis reporting. Confirm this setting in QuickBooks under Preferences -> Reports & Graphs -> Company Preferences. Also confirm the setting in Jirav from Settings > Company > Accounting.

Step 2: Launch the QuickBooks Web Connector (QBWC)

Follow these steps to launch QBWC:

  1. Open QuickBooks Desktop
  2. Navigate to File > App Management > Update Web Services

  3. Keep the QuickBooks Web Connector open for the remainder of the connection process

Step 3: Add the Jirav Web Service to the QuickBooks Web Connector

  1.  Login to Jirav and navigate to Settings ⚙️ > Actuals > Locate the intuit QuickBooks Desktop Tile and click 'CONNECT'.
  2. Click continue with the QuickBooks Web Connector connection method
  3. Click Generate Password and save it externally for use later. This password will only be shown once. If the password is lost, you will need to return to the connection screen and generate a new one
  4. Double-click to download the QWC Configuration File. In the QuickBooks Web Connector click OK to authorize adding the Jirav Web Service.

    Helpful Hint: If you're using Remote Desktop to access QuickBooks Desktop, you can right-click and copy the .qwc file from your computer and then paste it onto the Remote Desktop.

  5. Within QuickBooks Desktop, approve the ability for the Jirav Web Service to access your Accounting Data.

    Helpful Hint: It is recommended to allow access even if QuickBooks is not running, and to select Admin in the Login as dropdown list. Any user can be used, but if that user is deleted in the future the connection between Jirav and QuickBooks Desktop will be broken.

Step 4: Sync the QuickBooks Web Connector with QuickBooks Desktop

  1. Copy your previously generated password and return to the QuickBooks Web Connector. Paste the password within the QBWC Password field and click Yes to save it. 

  2. Select the check box to the left of the Jirav Web Service (will be titled "Jirav - [your account name]"). Click Update Selected to update and verify the connection between QuickBooks Desktop and the QuickBooks Web Connector.

    Under Status, look for a success message next to Last Result. If this says "Established connection with Jirav", return to Jirav

Step 5: Verify the Connection was Successful 

You can now mark the required checkbox and click Check Connection. You should receive a "Connection Successful" message and move forward with importing your data from QBD to Jirav.

Import from QBD

After you have set up the initial connection,  follow these steps to import actuals from QBD to Jirav:

  1. Login to Jirav, navigate to Actuals, click Import and select a date range for your first import. 
  2. Open QuickBooks Web Connector.
  3. Find the Jirav application in the list.
  4. Click "Update Selected."
  5. Go back to Jirav and verify the import completed successfully. 

Explore dashboards, reports & plans to interact with your data. 

Connecting to Different QuickBooks Desktop Files

The same QuickBooks Web Connector may be used to connect to multiple Jirav instances/QBD files. You will follow all of the initial connection instructions below. Each company file + account that is connected will be its own "Application" within the QBWC. Below are a couple tips to ensure a successful transition between QBD files

  • Ensure that only the applicable company file is open when creating the connection
  • The QBWC needs to remain open whenever data is being imported from QuickBooks Desktop to Jirav
  • The password for each "Application" should be saved to allow for future imports

Multiple Users Connecting to the Same QuickBooks Desktop File 

If multiple users at your firm need to import actuals from the same QuickBooks Desktop file, Jirav supports this through a manual QuickBooks Web Connector (QBWC) setup.
